Academic requirements for the students
To ensure the Academic Quality in our NMO, we require every incoming students to:
  1. Bring the NMO Student's Logbook: your tutor will fill and sign this book during your exchange. If we find out that the student didn't bring handbook, we will provide with Indonesia Student's Logbook.
  2. Read and learn the article about the project and prepare it before exchange.
  3. You must attend the Upon Arrival Training before the exchange started.
  4. Pay a SERIOUS ATTENTION to these details in order to get your exchange certificate from our LORE:
  • You must agree and sign the Letter of Acceptance (LoA) that will be given by our LC and submit it to our LORE before your exchange program begins.
  • You must completely fill and submit the Data Regulation form, Student Attendance (with minimum attendance is 80%), Student Logbook, Student Scientific Report from IFMSA and Post-Research Exchange Report from IFMSA to our LORE before you return to your home country.
  • You must at least attend one of the educational activities that held in your host LC during your exchange period (if provided).
  • You must submit documentations (it could be photos or vlog video) and a mini article during your exchange program.
  • It’s mandatory to fill TWO EVALUATION FORMS before going back to your own country:
    1. SCORE CIMSA-Indonesia Evaluation Form : the link will be shared in the last week of your exchange. Make sure to fill it and send the proof to your CP/LORE once you’ve done.
    2. SCORE IFMSA Evaluation Form: it usually could be accessed in the third-fourth week of your exchange. Make sure to fill the “EF Manual” provided by our LC just in case it won’t appear on the website.

Calendar Remarks

Each LCs have different available months due to this pandemic situation. Indonesia currently facing complicated times and we haven’t received updates on restriction or regulation yet from each LCs. Therefore, it is more safe and recommended for outgoings season 2020-2021 to come here start from January 2021. For GAP Exchange 2021, we are available in August. Please kindly contact our NORE and NAFI by email to get further information about our availability.


IMPORTANT!
Indonesia has several religious holidays. One of them is Eid Al Fitr' holiday that will be affecting calendars (since most of Indonesians are Muslims). Please be aware that we will celebrate Ramadhan month starting from mid of April until mid of May 2021. After that, Indonesia will celebrate Eid Al Fitr' for a week (most likely until the end of May) where most hospitals and universities will be closed. After the one week holiday, everything will be like regular days.

However, the length of the Eid Al Fitr' National Holiday has not been determined yet. You can still apply according to your desired period and we will try to inform you if there is any change of the accepted date.

Our NMO is divided to 7 Regions and there are Regional Social Programs available in some regions. In addition, there are a lot of different kind of Social Program that every LCs could offer! Earth, Fire, Air and Water - we got you covered!
Special Remarks
We will do our best to place you in your preffered Projects or LCs. Also, we can accept couple in the same LC but we cannot placed you in the same accommodation. Nevertheless, we can not guarantee that you will be placed in the same LC or your preffered projects. It depends on our LC and Research Project capacities.

(Latest Situation Updates from Indonesia)
As of July 8, 2020, the number of confirmed COVID-19 positive cases has risen significantly by 1,853 from the previous day to 68,079 cases. In that same period, the number of deaths rose by 50 to 3,359, while the number of recovered patients rose by 800 to 31,585. The Indonesian government has taken numerous measures to respond to the COVID-19 pandemic, including the Ministry of Transportation has issued Minister of Transportation Regulation as form of following steps to further limit the risk of community spread in Indonesia with the restrictions on the visit of Foreign Citizens to enter Indonesia.
To be allowed to travel, International passengers arriving in Indonesia must present the following documents and comply with the following regulations:
  1. Negative test result for COVID-19 from a swab test/PCR or rapid test
    • To be presented at the departure airport and upon arrival.
    • Test results must be issued within 7 days or 3 days (for a rapid test) before your departure date.
    • Has been 14 (fourteen) days in the region/country that is free of Covid-19 virus
    • Any passenger who is unable to provide a Health Certificate with a negative PCR/Swab test result must sign a statement letter of willingness to be quarantined and carry out a PCR test upon arrival in Indonesia.

      Health Certificate Validity
      Based on COVID-19 Handling Acceleration Force letter, the acceptable period of Health Certificates based on COVID-19 test type results are as follows:
      • Health Certificate with a negative PCR/Swab test resultsvalid maximum 14 days from the health facility issuance.
        Limited to passengers with international flight to Jakarta/Surabaya/Denpasar the PCR/Swab test result valid maximum 7 days from the health facility issuance
      • Health Certificate with a non-reactive Rapid test results valid maximum 14 days from the health facility issuance.
        Limited to passengers with flight destined to Biak the result valid maximum 7 days from the health facility issuance

    Every passenger is suggested to install the official PeduliLindungi app from the Indonesian government on their phone that can be downloaded on the following links:

  3. Health Alert Card (HAC) form
    For those of you entering Indonesia and or flying domestic flights within Indonesia are required to fill a Health Alert Card from the Indonesian Ministry of Health. For more convenience & to avoid queueing, we suggest using E-HAC (Electronic Health Alert Card) that can be accessed on:
    Indonesian Ministry of Health official web or you can also install the E-HAC app on your smartphone that can be downloaded on the following links: Android Play Store or Apple App Store
    If you don’t have the E-HAC app, Health Alert Card will be given at the departure airport or onboard before landing.
  4. Check and comply with other regulations from the Indonesian government and local/regional authorities at your departure and arrival points
  5. Comply with the airline’s travel policy
    For example: wear a mask onboard and around the airport area.
    Every passenger is required to put on a mask at the airport and during flight. All airlines urges passengers to prepare their own masks as well as own personal hygiene kits according to their individual needs before the flight.
  6. Bring minimum two (2) copies of all required documents
    In addition to checking your original documents, some airports might need to keep a copy of your documents for documentation purposes. Passengers are expected to prepare a copy and original copy of the documents prior to arrival at the departure airport and present it upon check-in. All airline have the right to cancel the flight of any passenger that does not meet the requirement.

Besides the above requirements, upon arrival at the destination airport, passengers are possible to go through additional health checks or to fill other forms/statement letters required by local authorities/local government.

*) Notes:

Before booking a flight, please make sure you can fulfill all the requirements. The airline and government officials will review your documents at the airport. Present only original and valid documents. Creating false documents, such as a fake COVID-19 test result, is an offense punishable by imprisonment of up to 6 years (based on Article 243 of the Indonesian Penal Code) and/or 12 years (based on Article 35 and 51 of ITE Law No. 11 of 2008).

Information of the policy can be accessed through Indonesian Immigration website. These measures are temporary and shall be evaluated pursuant to further development. 


 

The New Normal Protocols in most Laboratory University in Indonesia

There is no newest regulations that we received from our LC university to this day. Therefore, we still wait, observe and we will surely keep you updated once we have got the announcement about the exchange regulation from each of our LC University. For some university in Indonesia, Practice activities in the lab have started and they mostly prioritize the final-year students especially those who finishing their task on the final project or assignment. Research and practice activities in the laboratory already begin in a limited approach in accordance with strict health protocols such as they must disinfection of tables and research equipment following the COVID-19 prevention protocol etc. Each laboratory has also issued a policy of the maximum number of students who can use it in a day according to laboratory capacity.

There are heath protocols that you might need to obey on when you are accepted on one of our LC:

  • Students are required to clean their hands by using soap / hand-sanitizer before starting research and repeating it regularly.
  • Students are required to wear personal protective equipment such as masks, face shields, gloves provided by the department, and bring their own hats/headgear/hair net during the study.
  • Student must do physical distancing during the program.

Please do send the Confirmation Card (CC) as soon as possible (4 weeks prior to exchange start date) after you receive the Card of Acceptance (CA). We can't guarantee your place in the department if you send the CC to us late. Please always keep our LORE updated about your arrival, whether you'll come or not. Do not leave them uncertained as the hospital administration may take some time and we also need to settle your accommodation very soon.

There are two types of visit visa: 1) Visit Visa on Arrival, 2) Visit Visa

According to our Immigration and Ministry of Foreign Affairs regulation, students coming to Indonesia for exchange purposes MUST obtain VISIT VISA (Student Visa) which should be applied in Indonesian Embassy or Consulate (NOT visit visa on arrival, because visit visa on arrival is only for tourism purposes)

IMPORTANT: ACCORDING TO THE LAW, WE DO NOT ACCEPT VISA ON ARRIVALS

The Visa that you need to enter Indonesia for Student Exchange purposes is Visit Visa / Tourist Visa/ Sociocultural Visa, etc. (different embassies may call it with different term). The most important thing is all of those visa are visa with B211A index

Sometimes, you also may need TELEX in order to get the visa. We could get it for you from the Indonesian Immigration Office in Indonesia. But, you need to pay Rp. 100.000,- (according to the regulation, it may also change depends on the regulation). You will be asked to pay for us upon your arrival to Indonesia

Once you have obtained it, a holder of Visit Visa is given up-to 60 days stay and can be extended in Immigration Office for 5 (five) time, each extension will be given another 30 days stay.

The University/Faculty has the rights to check your visa. If the University/Faculty find out that your visa is Visit Visa On Arrival (for Tourism purposes), the University/Faculty may refuse you as their Incoming students and your exchange may get cancelled.

Calling visa ONLY applies for students with the nationality below:

The Indonesian calling visa is a particular visa given to applicants that come from a country which does not have diplomatic relations with The Indonesian government. This type of visa must be applied abroad and it should not applied through the local Immigration office in Indonesia.

APPLYING THE INDONESIAN CALLING VISA

The Indonesian calling can be applied through the following method:

  1. Submitting an application to the nearest Indonesian embassy abroad;
  2. Further examination by the officers at The Indonesian embassy;
  3. The visa application will be forwarded to The Indonesian Immigration Directorate General in Indonesia and to be further verified by The Indonesian Security Department;
  4. If the visa application is granted by The Indonesian Security Department and The Indonesian Immigration Directorate General, the visa application will be re-forwarded to The Nominated Indonesian embassy where the applicant is submitting the visa application;

The approval for the application of an Indonesian Calling Visa may take some time, which strictly depends on the acceptance made by The Indonesian Security Department and The Indonesian Immigration Directorate General.

Therefore, please contact your NORE as soon as possible if you are citizen with one of the nationalities above so we can manage to help you with the visa application in advance.

We highly suggest you to start taking care of your visa 2 months prior to your exchange date or as soon as we have sent you the CA. Therefore, we could help you more with the bureaucracy in Indonesia, which usually takes quite some time. You may contact us through email to get additional documents, eg. Proof of Accomodation Letter, no later than 6 weeks prior to your arrival.

Health insurance
  • An insurance that will cover your medical bills for a limited duration (usually less than 90 days) when you are traveling outside of your home country.
  • If you are traveling to Indonesia, it is the minimum you should get.
  • This is mandatory for every student to obtain health insurance by themselves. However, this insurance CANNOT be arranged in our country, and should be arranged in your home country.
Travel insurance
  • A generic term for an insurance that will cover several aspects of a trip: medical problems, but also flight cancellation, theft, lost luggage, etc.
  • We do not ask for this insurance thus the exchange student is not required to be insured for travel insuranceHowever, students could get that type of insurance through: WorldNomadsSmartTravel from AXA, or Travel Guard from AIG
Malpractice insurance
  • We do not ask for Malpractice Insurance thus the exchange student is not required to be insured for Malpractice Insurance. The Malpractice Insurance should be arranged in your home country if wanted, we do not have this type of insurance in our country.

    ***SPECIAL REQUIREMENT: In some departments of Yogyakarta UMY and Banda Aceh UNSYIAH, female students have to wear special dress. This is a way that you will feel more about our life, nothing to be worried about this.
  • Bring your Student's LOGBOOK to be confirmed to our hospitals so that you can gain more in this exchange. Tutor will sign on your LOGBOOK if they think you participate seriously.
  • Credit cannot be given by our faculty.
  • Please fill both EVALUATION FORM on the database and also CIMSA Evaluation Form given by hosting LORE at the end of your exchange month.
  • We CANNOT placed couple in the same host family or hostels
  • Your exchange is not a holiday. The LC and the appointed supervisor have put their efforts to organize and arrange your exchange. So, please do not be absent without any permission nor disobey the Exchanges Rules. Students who do not take their exchange seriously or cause any troubles in any other way will lose accommodation and their exchanges up to 3 days after the warning issued by NORE.
  • In addition, please take your Exchange Time seriously. Do not skip any lectures. Certification from IFMSA would be only given to you who have attended at least 16 EFFECTIVE DAYS LAB WORK, unless there is any extraordinary circumstance that make you cannot fulfill the 16 effective days, and it should be agreed by both sending and hosting NORE.
  • During your exchange, you will technically represent IFMSA in the University/Faculty/Laboratory/Hospital. When you do not take the exchange seriously, it will negatively affect the relationship that has been well-maintained between CIMSA and the Laboratory/Department and the Tutors. This could cause serious damage to our Exchange Programs. So please attend your Research Exchange and/or Clerkships accordingly and behave as expected.
  • Our LORE will send you a Rules Form Contract that you have to fill and sign, then send it back to us with your Confirmation Card.
