GRADUATED students cannot participate in our exchange program!
Be sure to be fluent in English to be able to communicate in the lab! (mandatory: at least level B2)

Other than that we do not have any special academic requirements as long as you are enrolled as a student and send us your proof of enrollment!
Longer projects are possible (maximum: 3 months, availability depends on project), please ask at nore-in@bvmd.de for details!

Most laboratories are closed for some weeks during christmas holidays. That's why we do not reguarly take Incomings in December.

During summer vacations, especially in August and September, some projects might not be available as well.

We take Academic Quality very seriously and expect you to attend work regularly and punctually, be prepared and motivated

We cannot guarantee the student to be placed in one of his/her desired projects (especially in summer). The sooner you send the AF, the more likely you will get the project you applied for.
Please do not only choose Heidelberg, Munich and Cologne for your desired project. You should choose only one project in one of these three cities! If you still choose only these places, we are free to place you somewhere else.

Be also aware that not every Local Committee accepts students at all times, what could be a reason for placing you in another place. We try very hard to put you in the desired place or at least close to it, but please understand it isn't always possible. Every Local Committee offers a high quality exchange. In fact, smaller cities tend to offer even better exchange experiences! Germany is also not that big, so you can easily travel at all times :)

Many of our students get placed in shared flats. In such cases, it is possible, that you will be sharing the flat, the bathrooms and the kitchen (not your room) with people of the opposite sex. If you have any problems regarding this, please state so in your AF. We sign contracts for the flats as soon as possible, so if you request a change of flat at a later point, you will have to provide for the extra expenses of a new flat or hostel room.

Incomings must not host friends or family members in their apartments!!

We do not accept mid-term students. Students should arrive at the beginning at a month and stay a full calendar month.
What to Bring
The SCORE Logbook is mandatory. Ask your NORE or local committee to get it. Bring it with you and fill it out during your internship (necessary to obtain your certificate).
It is advisable to take a white lab coat with you.

Social Program
Travel costs (such as flights), visa costs and insurances are paid by the participants themselves. <br />Generally our local officers provide a social program for exchange students throughout the year. In summer, we provide National Social Programs. However, all local representatives work on a voluntary basis which means that the extent of organized social activities will depend on the availability of the local committee. The extensivness may vary according to LC and month. We encourage you to activly seek out your opportunities to experience Germany. Your contact person will be happy to recommend you acitvities and travel destinations. For information from former incomings or advice from LEOs from other cities you are welcome to post questions in our national facebook group. Please check our Explore-pages for further information on the available cities.
Special Remarks
Due to prior experiences, we kindly ask you to respect our conditions and German regulations and habits. Even as an exchange student you are expected to attend all required classes and to work with the research group like everyone else (standard: 8 hours). Punctuality is crucial. Non-compliance is considered rude and impudent, and we reserve the right to send stuents home, if we receive complaints from the lab and the tutors in charge, or your accommodation and contact person.

We cannot host students under the age of 18 due to legal restrictions by the german governement on 'underage people'.

We need your application form at least 3 months in advance.The sooner we receive it, the better chances you have to get your first project choice.
Here are some more remarks about your AF:

Proof of Enrollment
We need an official Proof of Enrollment from everyone (see template underneath). This is a crucial requirement of the German Government. We would kindly ask you to explain to your universities that with signing the PoE, you are only stating that your medical studies include doing internships in general (not specifically a research exchange).

Requirements for the PoE:
- with stamp and signature
- state expected day of graduation
- must comprise the time the student will have the exchange (for example "student is enrolled from April to October 2020 and the exchange is in September)

Motivational Letter
We would like to write one motivation letter for each project (min 250 words, max one page). Please use proper English and sentences, not only keywords.
Please make sure the motivation letter & CV fit to the project and are written properly. These are important documents for the tutor to decide on accepting the student.

Proof of Funding
Due to legal immigration issues, incoming students from beyond the European Union have to hand in a proof of sufficient financial funding accessible during their exchange period. The total amount of money which needs to be submitted is 313,- EUR.

As proofs we will accept

  • Personal Funds: Bank Letter or Bank Statement in your name
  • Private Sponsor (Family Member or Friend): Bank Letter or Bank Statement in the name of your sponsor and a letter of financial support of your sponsor.
  • Scholarship: Award Letter
  • Government Sponsorship: Award Letter / Financial Guarantee

If you choose to submit a bank letter as your proof of funding, you may use the sample of a bank letter to be sure your bank account includes all required information.

If your funding is coming from private sponsors such as family members or friends, it must be verified by a bank letter and a letter of financial support. Please have your sponsor fill out and sign the sample and submit it with his/her bank information.

English language tests
We only recognize certified English language tests. In case bvmd Germany has some doubts about the accuracy of the stated language level, we keep ourselves the option to request an online meeting and reject the student's application in more extreme cases.

The standard documents are the basic documents that the students are asking for and the special documents are less important, as only some Local Committees ask for them. So it's mandatory to upload the standard documents, but not the special ones. (Students do it when asked for by the LEO/NEO.)

Please be aware that the project may not be definitive by the time of sending the CA. Dates and cities on the CA are mandatory!! If you have any special requests that can be justified, please do so BEFORE we issue the CA. Afterwards we expect you to attend to the exchange exactly as we stated it. We cannot agree to postpone a contract if the sending NMO cancels the exchange after receiving the CA.

We do not accept students for a 8 week project.

We cannot give any advice or clues regarding the visa application process. Please contact the German embassy directly to inquire which kind of visa is needed. Therefore you should give them any required information about the purpose of your visit.
