In AF notes section we request from every student a very short motivational note regarding his/her research ambitions. From students that are truly and highly interested in a specific project or topic, a few words of simple, honest explanation is welcome as well.

The student has to arrive on the third day of the exchange at the latest. Otherwise, the exchange will be cancelled.

Please be aware that January, February and June are exam periods at Polish Universities and hosting students may have limited time for organising a local social program.

December - due to holiday season, some projects may not be available from 24.12 to 31.12

The student can arrive at the earliest one week before the start of calender month (except mentioned above months) and one week after the start of the month at the latest. Application Forms with prefered dates not fitting this criteria won't be accepted.

LAB: White coat, shoes for change in the lab, stethoscope for the clinical projects. 

The student must bring the printed version of the SCORE logbook for their exchange and fill it out during the exchange. Some projects may require bringing other items - please contact your CP regarding that.

SOCIAL PROGRAM: we encourage you to bring food, drinks and souvenirs from your country for National Food and Drink Party.

The unilateral fee must be exchanged upon arrival and paid in cash. Please be ready and prepared to pay the unilateral fee upon arrival within first 2-3 days. In case of cancellation, the sending NMO is obliged to reimburse all the non-returnable expenses we made in order to accommodate the student.

Social Program
<div style="text-align: justify;">The social program is arranged by the Local Committees together with SCOPE Exchange. It's a voluntary work of students that's why there might be some varieties which are depending on particular local circumstances and month of the exchange (social program available mostly during summer months). Polish students help in visiting the city of stay, organizing Welcoming, Birthday and Departure Parties, going to the clubs, museums, cinemas, excursions to different cities and so on. NICE Project (National Incomings Care &amp; Excursions Project) provides our incomings with the best possible Polish experience. The project consists of the weekend trips to the most popular and beautiful Polish cities. The national social program is organized in the months of July and August.<br /><br /></div> <div style="text-align: justify;">A deposit of 25-50 euro might be required in some hostels/dormitories. The deposit is given back after the end of the stay.</div> <div style="text-align: justify;">Please ask your CP or LORE of LC you are coming to about the possible trips and deadlines to sign for them!</div> <div style="text-align: justify;">Keep in touch and reply to all emails. Special Remarks

Certificate of participation will be issued only to those students who have at least 85% attendance, filled in the Logbook and who fill the Evaluation Form in database before the departure. 

It is obligatory for every student to take part in Upon Arrival Training (UAT). The UAT serves as means of integrating the incoming students into the hosting country - the incomings are provided with information about the language, social norms, security tips or healthcare and education system. They also participate in teambuilding activities and in training covering such topics as culture shock, ethics in exchanges and intercultural learning.

The incomings have a possibility to participate in educational activities delivered within the scope of  Med-Ex. The opportunities vary between the LCs and may include surgical skills workshops, BLS and ALS training, ultrasonography and electrocardiography crash course, as well as dealing with real-life medical scenarios in simulation centres.

  1. Only digital documents required. All documents have to be uploaded in Card of Documents in PDF format and each must be in ENGLISH! (English translation of the document is acceptable).
  2. In AF student must choose 3 different projects in 3 different cities from 3 different categories in preferred order, one from each category:

    Category A: Gdansk, Krakow, Wroclaw, Warszawa;

    Category B: Bydgoszcz, Bialystok, Olsztyn, Lodz; Poznan;

    Category C: Lublin, Silesia (Katowice), Szczecin, Kielce, Rzeszow.

    Before choosing projects please check their month availability in projects' descriptions. Also please be aware that due to COVID-19 pandemic, some LCs accept only fully vaccinated students and other accept the tested ones, as follows:

    Cities that accept only fully vaccinated students (test may be required): Bydgoszcz, Gdańsk, Lublin, Rzeszów, Warszawa, Wrocław.

    Cities that accept also non-vaccinated students: Kraków, Łódź, Olsztyn.

    The remaining are closed until further notice or have no active projects. You can expect an update in December/January, please check the Projects Database.

  3. PASSPORT PHOTO/SCAN OF THE PASSPORT/ID card (for European citizens)

  4. MOTIVATION LETTER for each project separately SIGNED by the student (3 different letters in total)


  6. RECOMMENDATION LETTER (SIGNED by Dean or tutoring professor or other appropriate person).

  7. ENGLISH CERTIFICATE: must be in English and include a grade or percentage of student’s skills. English exam has to be passed the same year of the exchange or one year earlier and has to be endorsed by Educational Testing Service. Language certificate stating a level of completed B2 or higher is needed. If doubtful, interview on Skype will be required. English certificates signed only by NORE or other members of TO will be rejected!

  8. VACCINATION CARD - please use this form. It can be replaced only by one-page hospital document, written in English, signed and stamped by a doctor. Instead of uploading proposed vaccination card, incoming student may upload one-page hospital document wrote in English, proofed by doctor’s stamp and signature. Scans of multiple pages documents, without the doctor’s stamp and signature or written in different language than English won’t be accepted.

  9. A PHOTO: please upload an official picture (the one that you send in order to make your ID card).

    We will not accept selfies, pictures from your holidays and pictures with filters.
    In some places, your picture may be used in order to make an ID or to proceed your application at the University and introduce you to our tutors. Please respect that.

  10. CONSENT FORM - in accordance to the General Data Protection Regulation (GDPR) to accommodate your exchange we require consent for using your personal data. It has to be SIGNED by the student. You can find it here.

  11. SCORE TERMS & CONDITIONS - older than the newest version won't be accepted.


  13. PROOF OF ENROLLMENT - needed in some of the LCs

    NOTE: Each city has its own maximum capacity in regards to projects available and possibilities to accommodate the students. That’s why the applicant may be placed in other cities that have been chosen in AF.

    All Application Forms send after the deadline may not be accepted.

    All Application Forms filled regardless our rules may be refused.

    IFMSA-Poland reserves right to refuse any Application Form. The final decision on accepting Application form is made by the National Officer on Research Exchange.

    Currently the 2-weeks quarantine is obligatory for people crossing the borders of Poland. We are currently working to make it possible for our Incoming students to avoid it, which will be much easier if the Incoming student is vaccinated.
    If the student will be quarantined and it will elongate the stay in Poland - we cannot cover the cost of the additional hosting, although we will do our best to help find proper hosting for that. The student should arrive 2 weeks before the planned start of the exchange. The situation would be similar in case of infection.
    Wearing PPEs (masks) in buildings obligatory in Poland. Incoming students should provide the masks for themselves.

The standard documents are the basic documents that the students are asking for and the special documents are less important, as only some Local Committees ask for them. So it's mandatory to upload the standard documents, but not the special ones. (Students do it when asked for by the LEO/NEO.)
The upon arrival documents are hard copies documents that the students are requested to take with them in the host country.”

Not sending CC before the deadline and not replying to CP's / hosting LORE's messages may lead to exchange cancellation.

If an incoming student is being hosted at a host student's flat, upon arrival they both have to sign and accept the Hosting Rules Form.
It will be made available for all NOREs.

Students should apply for a Tourist Visa.

Students from countries that need a visa to Poland must request Invitation Letters from the hosting NORE through their NORE or Contact Person of this student. Invitation Letters will not be available in the databse. If any other documents are required, a sending NORE needs to inform NORE of IFMSA-Poland in advance.

Special remarks
According to the "Law on Higher Medical Education" in Poland, every incoming student is obliged to buy an insurance package. The package contains all required insurance policies (health, liability and malpractice), therefore it is not necessary to arrange any of these in the country of origin. All students coming to Poland will have to buy the package, regardless of any insurance they might have purchased in their countryInsurance fee of 55 PLN has to be paid upon arrival by both unilateral and bilateral students. For EU students European Health Insurance Card is required as well.

Insurance fee must be paid upon arrival in Poland. ISIC Card is preferable for discounts on public transportation, museums and so on.

Vaccination Card must be issued in English (you can find the form here)
  • all students have to be vaccinated against polio, tetanus/diphtheria, pertussis, hepatitis B, measles, mumps and rubella
  • some LCs may require other health documents (HBV antibodies, MRSA Test, proof of immunity against Tuberculosis)

Incoming Students are obliged to present the proof of immunization against SARS-COV-2 and/or the negative test result (depending on LC). The test should be a PCR-Test and the result shall not be older than 48 hrs before the first day of internship. This requirement is valid until further notice. Lack of this document results in automatic cancellation of Exchange. IFMSA-Poland does not provide tests or vaccines, so the Incoming Students are expected to fulfill this requirement at their own expense

In some cities, pocket money is given to students as boarding. Boarding always includes 1 hot meal per each working day.

Incomplete or wrongly filled (AF with 2 or 3 the same cities chosen) applications will be rejected.

Please be aware that upon arrival you have to pay obligatory insurance. Students without Health Insurance will not be accepted.
Not paying for insurance package directly upon arrival, not bringing printed SCORE Logbook and not speaking the required level of English may lead to immediate cancellation of the exchange ahead of time upon request from the tutor.

If the student doesn't behave appropriately their exchange can be terminated by National Officer on Research Exchange
