Academic Quality
In order to obtain the exchange certificate at the end of the clerkship, incoming students must meet the following criteria to ensure the Academic Quality of their exchange:
  • Handbook is required. It needs to be fully filled by the end of the clerkship rotation, as well as signed and stamped by the tutor.
  • Minimum 80% assistance to the hospital, which will be checked through the Handbook. We will be strict about this, specially during summer months (July and August).
  • Students must attend the Upon Arrival Training (UAT) and any Educational Activities that the exchanges team specifies during their stay (between 1 and 3 EAs per month depending on the month).
You must bring a printed version of the Handbook. You can find it here: https://drive.google.com/drive/folders/1lCRaq2403Emh-5GGdX7guPpuXqIWkEk6
Nightshifts
No
Special Remarks
There's no need to bring scrubs or special shoes, they will be provided to you at the hospital if needed.

Regarding the 80% attendance to the hospital: one month has an average of 20 working days, which means incoming students have to attend the hospital clerkship at least 16 of those days, 6h/day approximately (the working hours per day varies depending on the local committee, the department and tutor). If occurrences happen and they miss more days than they are supposed to, they can talk to the LEOs and agree to compensate it by staying in the hospital a few more hours other days.

We require our students to be punctual and respectful during their rotation. They must communicate accordingly with their tutor and the team at the hospital and let them know in advance if they are not going to attend the internship on some specific dates.
Towns
Cities Remarks
Be aware that the desired city is only a list of preferences and that we CANNOT guarantee that you will be placed in one of those desired cities.

During summer months (July and August) Barcelona is considered one single LC so you will only be able to choose one of the hospitals from Barcelona and the other options must be filled with different cities (Lleida, Reus - Tarragona, Girona, Sant Cugat).

Students who apply for universities in Barcelona may be placed in their associated teaching hospitals.

Incoming students ARE NOT ALLOWED to host friends or family members in their apartments.

If you are staying in Barcelona during the academic year (NOT summer months July and August) you must keep in mind:
  • You may be lodged in a mixed room with male and female students from your same exchange. If because of cultural, religious or any other reason this is not an option for you, please communicate it to your Local Exchange Officers back home stating the reason why and ask them to contact us so we can place you in a host family (there are very few of these).
  • A security deposit of €100 is required from each student during the check in at the lodging. This deposit will be returned on the departure date subject to no damages being reported/detected. The deposit is payable via cash/debit/credit cards.
  • It is mandatory to pay a tourist tax that will be charged to every student upon arrival (current fee: €0.72/person/night)
  • Bare in mind you will need to buy a transport ticket to travel around the city and to and from the hospital.
Calendar Remarks
Please apply for CALENDAR MONTHS only (from 1st to the 31st of the month).

We cannot provide lodging outside of the exchange period (1st to 30th or 31st of the month). The night of the 30th / 31st is not included.

This is very important in order to avoid last minute cancellations and problems with foreign embassies.

Here you have the link to our Ministry of Foreign Affairs' website. You need to go to "Citizen Services" and then to "Information for Foreigners" to find information about visa requirements to enter our country. You can change the language of the website to English at the top of the page.

Upon Arrival documents
None
The standard documents are the basic documents that the students are asking for and the special documents are less important, as only some Local Committees ask for them. So it's mandatory to upload the standard documents, but not the special ones. (Students do it when asked for by the LEO/NEO.)
The upon arrival documents are hard copies documents that the students are requested to take with them in the host country.”
Immunization requirements
Students must upload a valid vaccination card and show a negative tuberculosis Mantoux test or Quantiferon in order to be accepted at the hospitals as a learning students.

The vaccination card must show proof of Hepatitis B, Tetanus and Rubella vaccinations.

Insurance
All incoming students must provide two valid insurances:
  • Health Insurance: We won't accept any AFs without this insurance.
  • Liability Insurance: Our hospitals require this specific insurance that covers possible damages caused to third parties by the students. This insurance must be sent with the AF. If the student can't obtain it by the time he/she must send the AF for any reason, he/she must upload a blank page stating the reason why and giving his/her word to obtain one during the month prior to the exchange. We also encourage you to contact us as we can recommend some companies to get this insurance, although we do not get benefit from any of them.

ONLY FOR STUDENTS APPLYING TO HOSPITAL DEL MAR:
Please upload your B2 Spanish certificate in "Language Certificate" or upload a blank page explaining you're a native Spanish speaker.

---------------------------------------------------------------------------------------------------------------------

  • Your Card of Documents (CoD) must be fully completed when sending the Application Form. Applications without the required documents will be sent back to the incoming students.
  • Some hospitals can require hard copies upon arrival of some of the documents uploaded on the Card of Documents (such as the Vaccination Card or the Police Clearance Report). We will contact the affected students before arrival to inform them accordingly.
  • We highly encourage our incoming students to take some time into writing the motivation letters. We need all of them to place you in the most suitable department. Some hospitals require to read these letters before accepting the students' clerkships, so the letters should be addressed to the head of the department in case. It is important to state WHY you're interested in that specific medical field and your learning expectations for your rotation in that department.
  • Incoming students should have passed classes related to the departments where they want to be placed.

Special remarks
Substitutions must be for the same period, same department and same sex.

BEHAVIOUR AND RULES
Due to prior experiences, we kindly ask you to respect our conditions. Even as an exchange student, you are expected to attend the clerkship, work like everyone else and make the most out of your internship at the hospital. Non-compliance is considered rude and imprudent, and we reserve the right to send incoming students back home if we receive complains towards them from the hospital, the tutors, the accomodation, the local students or the contact persons.

We are sure you're going to have a great time during your stay in Catalonia and our exchanges team will do our best to make sure it happens. See you soon!!!
