A clinical clerkship is defined as the rotation of a student in a clinical department of a hospital or clinic, such as Dermatology and Pediatrics.

Academic Quality
To ensure the Academic Quality in our NMO, we require every incoming students to:
  1. Bring the NMO Student's Handbook: your supervisor will fill and sign this book during your exchange. If we find out that the student didn't bring handbook, we will provide with Indonesian Student's Handbook.
  2. Bring the Learning Objectives sheet: this document will be given by the LC after you received the CA.
  3. Make a Case Presentation which should be presented to your supervisor in the last day/week of your exchange that will also be evaluated by your supervisor.
  4. Fill our LC Evaluation Form: the link will be shared in the last week of your exchange. Make sure to fill it and tell your LEO so you will get your certificate.

Special Remarks
  • Must undergo similar working conditions as Indonesian students in the hospital
  • Nighshift is possible, depends on the department and your supervisor
  • Must obey all the regulations at the campus, clinical department, and the hospital
  • In some LCs, students are only allowed to OBSERVE and not performing any examinations
  • MUST NOT LEAVE THE CLERKSHIP BEFORE THE TIME AGREED PREVIOUSLY (20 EFFECTIVE DAYS)
  • Students HAVE TO inform both supervisors and LEO/CP and get permission from the supervisors if cannot attend the clerkship/come to the hospital that day
  • Must wear FORMAL SHIRT with COLLAR. Please deliver your best performance as medical student in the hospital
  • In some LCs, it is mandatory to wear hijab/veil for female students. Check our LC Explore Pages for more details
  • Please take your exchange time seriously. It's your chance to study many of tropical medicine cases and unique diseases that you may only see in Indonesia

  • For example: Universitas Gadjah Mada and Universitas Muhammadiyah Yogyakarta are both in Yogyakarta. Please only choose ONE OF THEM.

  • There is no limitation if you want to choose all LCs in Sumatra.

!!IMPORTANT!!
Since most of Indonesians are Muslim, please be aware that we will celebrate Ramadhan month starting from first of May until mid of June 2017. After that, we will celebrate Eid for a week (most likely until 2nd week of June) where most hospitals and universities will be closed. After the one week holiday, everything will be like regular days.

However, the length of Eid national holiday hasn't been determined yet. You can still apply according to your desired period and we will inform you if there is any change of the accepted date.

Visa requirements
There are two types of visit visa: 1) Visit Visa on Arrival, 2) Pre-Visit Visa

According to our Immigration and Ministry of Foreign Affairs regulation, students coming to Indonesia for exchange purposes MUST obtain PRE-VISIT VISA which should be applied in Indonesian Embassy or Consulate (NOT visit visa on arrival, because visit visa on arrival is only for tourism purposes)

Once you have obtained it, a holder of Visit Visa is given up-to 60 days stay and can be extended in Immigration Office for 5 (five) time, each extension will be given another 30 days stay.

The hospital has the rights to check your visa and if we find out that your visa is Visit Visa On Arrival (for tourism purpose) the hospital may refuse you and your exchange may be cancelled.

Calling visa ONLY applies for students with the nationality below:

The Indonesian calling visa is a particular visa given to applicants that come from a country which does not have diplomatic relations with The Indonesian government. This type of visa must be applied abroad and it should not applied through the local Immigration office in Indonesia.

APPLYING THE INDONESIAN CALLING VISA

The Indonesian calling can be applied through the following method:

  1. Submitting an application to the nearest Indonesian embassy abroad;
  2. Further examination by the officers at The Indonesian embassy;
  3. The visa application will be forwarded to The Indonesian Immigration Directorate General in Indonesia and to be further verified by The Indonesian Security Department;
  4. If the visa application is granted by The Indonesian Security Department and The Indonesian Immigration Directorate General, the visa application will be re-forwarded to The Nominated Indonesian embassy where the applicant is submitting the visa application;

The approval for the application of an Indonesian Calling Visa may take some time, which strictly depends on the acceptance made by The Indonesian Security Department and The Indonesian Immigration Directorate General.

Therefore, please contact your NEO as soon as possible if you are citizen with one of the nationalities above so we can manage to help you with the visa application in advance.

AF AND DOCUMENTS MUST BE UPLOADED TO DATABASE (www.ifmsa.org) 3 MONTHS BEFORE YOUR CLERKSHIP STARTS.

*** for UNIVERSITAS INDONESIA: please choose more than one departments in your AF, we cannot accept AF with only one department (Internal Medicine-Cardiology, Internal Medicine-Hematology, etc or Surgery-General, Surgery-Neurosurgery, etc)

ALL DOCUMENTS MUST BE UPLOADED IN THE ELECTRONIC APPLICATION FORM (eAF).

ALL STUDENTS MUST ENCLOSE:
1. Official Letter of Recommendation from student's DEAN to the HOSTING University, containing the point that student is RECOMMENDED to join clinical exchange in X, X, and X Department in HOSTING UNIVERSITY as noted in student's priorities.
2. Proof of enrollment.
3. Student's Transcript. This is an official list of your exams marks from the faculty. MUST BE TRANSLATED TO ENGLISH.
***PLEASE do those THREE documents OFFICIALLY and don't forget to PUT DEAN STAMP on them. Letters should be arranged SOON after you heard from your SCOPE NMO National Exchange Officer about your final placement in Indonesia (in which University).
4. A copy of passport.
5. A copy of language certificate.
6. A letter of motivation.
7. A curriculum vitae.
8. A copy of the health insurance.
9. 3 passport sized pictures.
10. A copy of health statement that you are free from any disease.
11. Proof of vaccination: Hepatitis B
12. TBC-mantoux test.

***Some of the LCs (Yogyakarta UGM, Surabaya, and Jakarta) require some documents more than mentioned above. The LEO will soon contact you after they accept your eAF.

***IF THE STUDENT DOES NOT GIVE THE COMPLETE DOCUMENTS IN TIME, THE EXCHANGE MAY BE CANCELLED!

*Notice that a valid email address is necessary. If the LEO, either the NEO contact you and there are NO RESPONSE, the exchange may be CANCELLED!

The standard documents are the basic documents that the students are asking for and the special documents are less important, as only some Local Committees ask for them. So it's mandatory to upload the standard documents, but not the special ones. (Students do it when asked for by the LEO/NEO.)
The upon arrival documents are hard copies documents that the students are requested to take with them in the host country.”

Health insurance
  • An insurance that will cover your medical bills for a limited duration (usually less than 90 days) when you are traveling outside of your home country.
  • If you are traveling to Indonesia, it is the minimum you should get.
  • This is mandatory for every student to obtain health insurance by themselves. However, this insurance CANNOT be arranged in our country, and should be arranged in your home country.
Travel insurance
  • A generic term for an insurance that will cover several aspects of a trip: medical problems, but also flight cancellation, theft, lost luggage, etc.
  • We do not ask for this insurance thus the exchange student is not required to be insured for travel insurance. However, students could get that type of insurance through: WorldNomadsSmartTravel from AXA, or Travel Guard from AIG
Malpractice insurance
  • We do not ask for Malpractice Insurance thus the exchange student is not required to be insured for Malpractice Insurance. The Malpractice Insurance should be arranged in your home country if wanted, we do not have this type of insurance in our country.

Please do send the Confirmation Card (CC) as soon as possible (4 weeks prior to exchange start date) after you receive the Card of Acceptance (CA). We can't guarantee your place in the department if you send the CC to us late. Please always keep our LEO updated about your arrival, whether you'll come or not. Do not leave them uncertained as the hospital administration may take some time and we also need to settle your accommodation very soon.

Special remarks
• Please understand that Indonesia has 5 religions and respect the rule
• Please wear RESPECTABLE CLOTHES as mentioned above: SHIRT with COLLAR (for male and female)
• Wear COVERED SHOES instead of SANDALS (RUNNING SHOES ARE NOT ACCEPTABLE)
JEANS are NOT ALLOWED during your day at the hospital
• Female students must wear KNEE LENGTH SKIRT or longer. If not please wear TROUSERS since jeans are not allwoed.

***SPECIAL REQUIREMENT: In some departments of Yogyakarta UMY and Banda Aceh UNSYIAH, female students have to wear special dress. This is a way that you will feel more about our life, nothing to be worried about this.

• Bring your Student's HANDBOOK to be confirmed to our hospitals so that you can gain more in this exchange. Supervisors will sign on your HANDBOOK if they think you participate seriously.
• Credit cannot be given by our hospitals.
• Please fill both EVALUATION FORM on the database and also LC Evaluation Form given by hosting LEO at the end of your exchange month.
• We CANNOT placed couple in the same host family nor hostels
• Your exchange is not a holiday. The LC and the appointed supervisor have put their efforts to organize and arrange your exchange so please do not absent without permission nor disobey the exchange rules. Students who do not take their exchange seriously or cause trouble in any other way will lose accommodation and their exchanges up to 3 days after the warning issued by NEO Incoming.
• Again, please take your exchange time seriously. Don't skip any lectures. Certification from IFMSA would be only given to you who have attended at least 20 EFFECTIVE DAYS HOSPITAL WORK, unless there is any extraordinary circumstance that make you cannot fulfill the 20 effective days, and it should be agreed by both sending and hosting NEOs.
• During your exchange, you will technically represent IFMSA at the department. When you do not take the exchange seriously, it will negatively affect the relationship that has been well-maintained between CIMSA and the department+tutor. This could cause serious damage to our exchange program so please attend your clerkship and behave as expected.
• Our LEOs will send you a Rules Form Contract that you have to fill and sign, then send it back to us with your Confirmation Card.
• For UNILATERAL contracts: Please bring 60 Euro to March Meeting GA. You can pay this to your country's National Exchange Officer (NEO) to be given to Indonesian NEO in IFMSA General Assembly. The rest of the payment can be given up on arrival.
